SUMMARY OF THE ROLE: Maze is an AI-native cybersecurity company. Behind the product there's an operations function that keeps everything else moving, and right now most of it runs through one person, our VP Operations. This role takes a big chunk of that off him and, over time, runs it better than he does. The work splits three ways. There's the recurring machine that has to run every week whether anyone's watching or not: payments, expenses, payroll, filings, compliance deadlines. There's the paperwork that gets enterprise deals over the line: order forms, partner packs, NDAs, security questionnaires, procurement portals. And there's the logistics that hold a fully remote team together: quarterly offsites for 40-50 people, travel, the gatherings that make it feel like a company. You'll do most of it on an AI tooling stack we build in-house, which is what lets one person cover this much. I'll be honest about what this is and isn't. It's an execution role first and it stays one. The day-to-day is contracts, payment runs, filings and rooming lists, and in 18 months it's still that, with more volume and better tooling. There is real growth here and genuine exposure to how the company is run, including work that ends up in front of the board. But that comes from doing the operational job well, not from skipping past it. If the execution is the part you'd want to get through quickly to reach something else, this isn't your role. YOUR CONTRIBUTIONS TO OUR JOURNEY: - Run the weekly money rhythm: Invoice intake, payment runs, expense triage, and a second pair of hands on payroll. It happens every week, it has to be right, and it has to be on time. No drama. - Own the compliance calendar: Company filings, per-hire state registrations, insurance renewals, sponsorship reporting. Dozens of hard external deadlines. You build the one place they all live and you make sure none of them slip. - Run and extend the AI stack: Our ops tooling is built in-house: contract review, document generation, venue sourcing, automated digests. You'll use it every day and have a real say in what we automate next. Running it well comes first, building on it comes once it's steady. - Turn deal paperwork around fast: Order forms, partner and reseller packs, NDAs and the e-signature estate, end to end. Enterprise deals move at the speed of the paperwork, so the standard is every document out inside 24 hours and no deal ever waiting on us. - Handle security questionnaires and procurement portals: Enterprise customers send long due-diligence questionnaires. We've built an AI answer library that does most of the work. You run it, fill the gaps, get the approvals and hit the portal deadlines. - Run the offsites and team logistics: Quarterly offsites for 40-50 people across Europe and the US, plus the smaller gatherings. Venue sourcing (AI-driven, you own it), contracts, rooming, flights through Navan, swag, dinners, and the fixes on the day. We bring in producers for the big ones, but it's your event. - Back up the sales team on ops: POV logistics, scheduling, CRM hygiene, and the operational questions that come off live deals. You're who the go-to-market team leans on so they can stay selling. - Write down how we operate: Turn the way Maze runs into playbooks other people can actually follow, and run the ops request queue. The point is that answers stop living in one person's head. WHAT YOU NEED TO BE SUCCESSFUL: - 2-3 years actually running operational processes. Startup or scale-up ops, a deal desk, sales ops, legal ops or finance ops. You've owned something recurring and high-stakes, kept it running for a decent stretch, and can talk in detail about how. - You've worked somewhere small. Roughly under 200 people, where nobody handed you a playbook. Big-company experience on its own won't carry over. There's no enablement team here and the gaps in tooling and process are yours to close. - A track record of dull work done well. We'll ask about the boring process you ran flawlessly for a year and what you did to make it better. You should have a real answer. - Precision when the volume is high. The work is detailed and deadline-driven and it punishes mistakes. A wrong figure on an order form or a missed filing has real consequences. You're the person who doesn't drop things. - Comfortable with AI tools. You already use them to do your actual job, past the chat window: things you've automated, workflows you run, work you've stopped doing by hand. A lot of this role is operating tooling like that, so it should be part of why you want it. - Good at managing yourself remotely. You've done it and it suited you. You run your own day, you communicate in writing without being chased, and nobody needs to check you're working. - Safe with sensitive material. Payments, contracts, personal data. You'll be able to speak to how you handle confidential work. - Nice to Haves: - B2B SaaS, cybersecurity or another technical enterprise product: the deal mechanics and compliance will click faster - Events or offsites you've run end to end, at any size - You already know some of the stack: DocuSign, HubSpot, Linear, Deel, Vanta, Ramp, Navan, Google Sheets - Enterprise procurement experience: security questionnaires, vendor onboarding portals, TPRM WHY JOIN US: - Ops that actually matters. When this job is done well, everyone else's gets easier. Money lands on time, nothing slips, the offsite is the week people remember. That's the whole reason the role exists. - The tooling is genuinely ahead. We've automated share-option paperwork, contract review, venue sourcing and a good chunk of onboarding. You'll run that every day and help decide what's next. Most ops teams aren't working this way yet. - A strong team. Hands-on leaders who've worked across Big Tech and high-growth startups, including teams behind several acquisitions and an IPO. - Work that's worth doing. Cybersecurity is a force for good, and the company you keep running is helping stop attacks on organisations that matter. - Honest growth. The ops team grows around this seat as Maze does, and being excellent here opens real doors: more scope, deeper specialism, a hand in building the team. What we won't do is dress the role up as something it isn't. The path is being very good at operations, somewhere that values it.
